Article One - Name of Association

  1. The name of this organization is the Triangle Disc Jockey Association and may be abbreviated "TDJA." This organization is a non-profit, non-stock corporation.

Article Two - Corporate Mission

  1. To maintain the highest standards and professional excellence of mobile disc jockeys and promote networking amongst TDJA members.

Article Three - Purpose of Association

  1. The purpose of this organization is to unite professional mobile disc jockey members into a non-profit association in order to educate, enhance and promote the individual members.
  2. Educate the consumer of the standards for membership in the TDJA and aid the buying public in the selection of an accredited TDJA member Disc Jockey Company.

Article Four - Corporate Objectives

  1. Ensure the highest quality entertainment in the NC triangle area.
  2. Establish a network of benefits to help members save money.
  3. To aid members in the promotion of all aspects of their individual companies.
  4. Help members establish themselves as professionals in their field.
  5. To preserve the integrity of the professional disc jockey industry.

Article Five - Eligibility for Membership

  1. Membership requirements - This establishes that each COMPANY shall have one vote in any issue brought forth to the TDJA that require a vote. Individuals desiring an associate of their company to be a member can purchase an associate membership as established below.
    1. Prospective applicants applying to the TDJA with less than five (5) years but more than three (3) years must be sponsored by two (2) current members, with one cosponsor having at least 10 years experience. These members must observe at least two (2) weddings of this applicant and be available as a mentor to the applicant.
    2. Each member is accredited individually and does not reflect on any independent agency.
    3. All members must abide by the code of ethics of the TDJA (see article 5.2).
    4. All members must use written formal agreements except for last minute bookings when time does not permit, in which case, a verbal confirmation is acceptable.
    5. All members are required to have liability insurance and maintain a certificate of liability insurance.
    6. All members must have e-mail service and a FUNCTIONAL, OPERATING website.
    7. All members pay annual dues of $50.00(excluding Honorary members) before March 1st of each year.
  2. Code of Ethics
    1. Members should dress appropriately for each event. Formal wear for formal events is recommended unless otherwise requested by client.
    2. Equipment shall be maintained in a clean, aesthetically pleasing manner.
    3. Drugs and alcohol are not permitted under any circumstances while performing, setting up or breaking down.
    4. DJ shall provide consultation services in person(IF REQUESTED) to all brides and grooms within a reasonable period of time before the wedding date.
    5. DJ should be set up at least 30 minutes prior to scheduled time.
    6. DJ should cooperate with all service people incorporated with the event (photographer, videographer, wedding consultant, etc.).
    7. DJ should introduce him/herself to banquet manager in charge of reception in order to coordinate day’s events prior to bride and groom's arrival.
    8. DJ should return client contacts within 24 hours of the original call, and follow up before and after contract is signed.
    9. Volume during cocktail and dinner hour shall be at a reasonable level.
    10. Profanity is strictly prohibited, on or off the microphone.
    11. DJ shall, at all times, maintain a professional, positive, and friendly attitude throughout the performance, regardless of any occurrences.
  3. Minimum standards for inclusion:
    1. All primary equipment must be of a professional series with no consumer products.
    2. All members must carry back up equipment such as Amplifier, Speaker and a CD player (back-up CD player need not be of a professional series)
    3. All equipment must be in rack mounted road cases or in appropriate containers.
    4. All members applying for inclusion as a member shall undergo the application process.
  4. Procedure to evaluate applicants
    1. New Applicants receive the following in an information pack generated from the Director:
      1. Cover letter
      2. Corporate Mission Statement
      3. Member Benefits
      4. Code of Ethics
      5. Member Requirement
      6. Application
    2. Applicant must submit FOUR references (two past clients and two wedding professionals) and a copy of their contract with application. References are checked by membership committee. If necessary, equipment is verified by a site visit or applicant may be required to perform a mock introduction at a bimonthly meeting.
    3. Applications are reviewed by the member application committee, which shall review applicants twice a year. This schedule and members to be voted on by the TDJA membership. Applicant is reviewed for compliance with member requirements.
    4. Members must perform at a minimum 20 shows per year.
    5. If in compliance with all items, 2 members of member application committee call applicant for personal interview to verify data on application for accuracy and reports info to member application committee.
    6. Application committee then votes to accept or deny membership, forwards to the TDJA membership for an up or down vote.
    7. If membership is denied, standard cover letter is sent by member application committee indicating denial.
    8. If membership is granted, standard cover letter is sent out accompanied by code of ethics that is to be signed by applicant and returned with membership dues. Dues are required within 14 days of cover letter. Membership dues are non-refundable. President will make follow up call within14 days after cover letter to welcome and inform members who mailed in dues and inquire of delinquent members of where their dues are. Dues paying members are sent membership badge, membership card, and certificate of membership and scheduling chart for network when dues are received.
    9. If Application Committee is unable to render a decision, the member application may be brought to an open session with all active members, whereby discussion will be heard by all members regarding acceptance or denial of membership. A vote among all members will determine if the applicant is accepted or denied. Acceptance must by two-thirds majority.
    10. Penalty For Applicants:  Upon denial and/or suspension membership applicants can re-apply after one year.
  5. Honorary Member:
    1. The TDJA membership may appoint Honorary Membership to an individual who has made significant contributions to the Mobile Disc Jockey industry. Honorary Memberships are non-voting and non-participatory.
    2. Honorary Members (see articles 5.4) dues are waived.
  6. Lifetime Member:  The TDJA members have the power to appoint Lifetime Membership to any active member who has made significant contributions to the TDJA. Lifetime Members will be allowed one Board of Directors Vote if they are active and participating members of the TDJA.
  7. Retired Member Membership for Retired members previously active:
    A retired member shall be defined as a company that is no longer actively marketing and is performing not more than 10 paid shows a year. A retired member can perform at as many non profit shows as he or she chooses, as those kinds of shows an only bring credit to that person and the TDJA. A retired member will be subject to all of the rules and regulations governing members including annual dues with the exception of maintaining active marketing and insurance.
    A retired member is further defined as a previously active member of the TDJA.

Article Six - Disciplinary Action -Based on a justifiable and confirmed complaint

  1. Falsification of any information on a member application will result in immediate revocation of membership.
  2. If a member is in violation of any item in the TDJA code of ethics or membership requirements, the member is issued one written warning.
  3. Subsequently, any violation of any item in the code of ethics or membership requirements would result in disciplinary action by the Board of Directors.
  4. Violations are handled in this manner:
    1. A meeting is scheduled with the member in order to verify the circumstance of the violation.
    2. The Board of Directors reviews these circumstances.
    3. If the member is found in violation, 1st offense, incident is recorded in the members file.
    4. For first offense, the member is issued a written warning.
    5. Second offense, Violation procedures 1 and 2 are repeated. If found in violation, membership is revoked. If not found in violation, members permanent file is updated of the occurrence.

Article Seven - Standard Operating Procedures.

  1. Qualified TDJA members will have their information posted on the TDJA website.
  2. Association meetings will be held at least 4 times a year or as determined by TDJA member votes. Currently in 2006, we are meeting every other month.
  3. Association Meetings will be conducted under modern Parliamentary procedures. Minutes of each meeting will be recorded and distributed to all members by email as soon as practical after the meeting, and before the next meeting.
  4. Non-members may attend up to two meetings and must be sponsored by a member at each meeting. Thereafter, a non-member must become a member to continue attending. Exceptions can be made for non-members invited by the association to give talks, seminars, and presentations.
  5. Members must attend a minimum of 50%(3) meetings a year, and must be current with membership dues, in order to be listed on the TDJA website. The duty to handle attendance shall devolve on the sitting Vice President.
  6. At the discretion of the Members, advertising in the TDJA newsletter may be sold to offset costs incurred by the TDJA. The TDJA shall under no circumstances sell advertising to any individual and or corporate disc jockey.
  7. TDJA President is the official media spokesperson for the association. All statements to the media must be from the TDJA President. All members may be spokespersons for the TDJA to the general public and prospective clients. This is so we can have other members talk about the TDJA at events such as bridal shows.
  8. Bylaws can only be ratified once a year at the first association meeting of the calendar year. Any member who wishes to submit a bylaw, must do so in writing (proposed and signed by an active member). The proposal must be sent to the Secretary no later than 60 days prior to the first bylaw ratification meeting (first association meeting of the calendar year). The bylaw ratification committee will review and vote, by majority vote, to accept or reject each proposed bylaw prior to the first bylaw ratification meeting. At the first bylaw ratification meeting, ALL proposed bylaws will be listed for members to read.

Article Eight - Policy For Dissolution

  1. Assets are liquidated by the Board of Directors and distributed evenly among the active members.

Article Nine - TDJA Officers

  1. Board of Directors must not be on the BOD or committees, in the management of any other disc jockey related association. But does have the right to be a member of another disc jockey related association.
  2. TDJA Post Office Box may be changed when a new Treasurer is voted in. The current address is 3900 Lassiter Mill Road, Raleigh NC, 27609.
  3. Elections
    1. Each Officer position has a one-year term. All elections take place in February.
    2. A single company may not have more than one officer serving at the same time. More than two may be nominated for election but only one may be elected.
    3. There are no term limits for elected positions.
    4. Elections are governed by Modern Parliamentary Procedure. A quorum of 66% of the membership is required. EACH company gets one vote.

Article Ten - Referral Network

  1. All jobs referred from the Association to TDJA members are to be performed by TDJA members ONLY. There are no exceptions to this rule. Violations will be subject to immediate revocation of membership.
  2. A referral fee shall be paid to any TDJA member that refers a client to a fellow member in which that client is booked by the receiving member. This fee shall be paid by check, cash or Credit card in the following increments within 10 business days of the COMPLETED job(or earlier at the discrtetion of the refferred company):

    0-500 contract - $50.00
    500-1000 contract- 100.00
    Over 1000.00- $150.00

    Members who FAIL to be honest and pay this referral fee shall be subject to the disciplinary actions in Article 6. The referring DJ shall have the right to independently verify with the client that a fellow TDJA DJ has been booked by a referred client.
  3. Prospective jobs referred to the association will be emailed to all members.
  4. If a referral client uses a TDJA member again within a year, a referral fee shall ALSO be paid to the originally referring DJ company.

Article Eleven - Expenditure of TDJA Funds

  1. The expenditure of TDJA funds must be authorized in advance with two of the three officer signatories. The level of authorization required varies, so that normal operating costs (phone bills, etc) may be routinely handled paid by the Treasurer, while expenditures that have larger impact on TDJA budget must receive higher levels of approval:

    Under $250 – Treasurer and President/Vice President may authorize expenditure and sign TDJA checks.
    $250 and above – Expenditure must be authorized in advance by majority vote of TDJA members

Article Twelve - Audit

  1. An annual audit of TDJA Treasurer is required.
